Engagement at a glance

  • Live pilot running at three clinic, with additional locations next

  • 4 modules Registration, Laboratory, Lead Management, Report Generation

  • 3 months of pilot results: faster intake, tighter lab handoff, fewer billing errors

  • AWS cloud-native React and Node.js stack, with AI under India's DPDP Act

The business context

Fertility care is one of the most data-intensive, precision-dependent corners of healthcare. A single ART (Assisted Reproductive Technology) cycle generates a dense trail of information - patient history, hormone panels, embryology logs, procedure timing, consent records, billing — all of which has to stay perfectly synchronized across clinicians, lab teams, and administrative staff.

Butterfly Bio & ART LLP needed more than an off-the-shelf Hospital Information System. Generic HIS platforms are built for general hospital workflows and do not map well onto the specialized, time-sensitive processes of a fertility clinic — where a missed handoff between the lab and the clinician can affect a treatment cycle. LifeSeed needed a system designed around how ART clinics actually operate.

The challenge

Off-the-shelf HIS products assume general outpatient and inpatient flows. ART cycles are timed to the day and hour. Embryology data has to reach the clinician without delay or transcription error. Billing and insurance reporting cannot sit in a separate spreadsheet if the clinic is to stay accurate under load.

The platform also had to earn the right to scale. The first proof was a live pilot in one clinic — not a multi-site rollout before the workflows were real.

The Creavate approach

The engagement model evolved deliberately over the course of the relationship — starting fixed-price, moving to a resource-based structure, and settling into a joint development model. That progression lets both sides align incentives around the platform's long-term success rather than a one-time delivery.

The team built the Health Information System around four core modules tailored to ART workflows, with an integrated AI model designed to reduce operational load while protecting data under India's DPDP Act.

  • Patient Records & EMR — a unified, structured patient history built for fertility-specific data (cycle history, hormonal profiles, prior treatments)
  • Lab & Embryology Tracking — tight, auditable tracking of embryology data and lab results, designed to close the historical gap between lab findings and clinical decision-making
  • Appointment & Cycle Scheduling — scheduling built around the realities of ART cycles, where timing precision matters far more than in general outpatient care
  • Billing & Insurance Reporting — integrated financial workflows to cut down on manual reconciliation and billing errors
  • Advanced AI model — integrated to reduce operational tasks, with data protection aligned to India's DPDP Act

The platform runs on a modern web stack (React / Node.js), deployed cloud-natively on AWS for scalability and reliability. The AI/ML component is built into the system to support smarter data handling within the clinical workflow — laying the groundwork for predictive and decision-support features as the platform matures.

The outcome

In the first 3 months, Butterfly Bio & ART has seen measurable improvement across the board: faster, largely paperless patient intake replacing manual, paper-based onboarding; better lab-to-clinician handoff accuracy, reducing the risk of delayed or miscommunicated results during time-sensitive treatment windows; and fewer administrative and billing errors, thanks to integrated financial workflows replacing manual reconciliation.

With the pilot proving out at one clinic, Butterfly Bio & ART and Creavate Solutions are now preparing to scale the platform across additional locations — extending the same joint development model that shaped its first phase.

What this means for your business

If your clinic's work is more specialized than a generic HIS can express, buying a hospital-wide product and bending it will keep failing at the handoff that matters — lab to clinician, cycle timing, fertility-specific EMR. A purpose-built system costs more attention up front and pays it back in the cycle.

The commercial model matters as much as the modules. Moving from fixed-price into joint development is how a fertility HIS stays owned by the people who will still be operating it when the second clinic comes online.
